This policy sets out what data we collect when you use this site or send a quotation request, why we collect it, who we share it with, how long we keep it, and what rights you have over it. We apply this policy within the framework of Egypt's Personal Data Protection Law No. 151 of 2020.

Who we are

ALKAYAN provides general maintenance, supplies and corporate procurement services to businesses in Egypt. The party responsible for the processing described in this policy is ALKAYAN — الكيان, reachable at info@alkayansupp.com.

Data we collect

We collect two kinds of data: what you send us yourself, and what is collected automatically as you browse.

What you send when completing the quotation request form:

  • Name, company name and job title
  • Phone number and email address
  • Requirement type and the request details you write
  • Delivery location and required date, if you enter them
  • Any file you attach (RFQ, BOQ, specification or photograph)

Data collected automatically

When you submit the form we also record technical data associated with the submission: your IP address, browser type, submission time, the page you arrived from, and any campaign parameters present in the link (utm_source, utm_medium, utm_campaign and similar).

The IP address and timestamp exist specifically to protect the form against automated repeat submissions (rate limiting), not to track individuals. Campaign parameters tell us which marketing channel brought you to us.

Why we use this data

We do not use your data to send marketing unrelated to your request, and we do not sell or rent your data to any third party under any circumstances.

  • To respond to your request, prepare the quotation and fulfil it if agreed
  • To contact you about the request and related questions
  • To keep a record of our dealings so repeat orders are easier
  • To protect the site from automated submissions and misuse
  • To measure site and marketing channel performance in aggregate

Legal basis for processing

We process your data on the basis of the explicit consent you give by ticking the consent box before submitting the form; on the basis of contractual necessity where we are fulfilling an order or agreement between us; and on the basis of our legitimate interest in securing the site and preventing its misuse.

Who we share it with

We share your data only to the extent needed to fulfil your request or meet a legal obligation. That may include:

  • Our own team members reviewing, pricing and executing the request
  • The email service provider that delivers the request notification to us
  • The customer relationship management (CRM) system we use to record requests, where one is in use
  • Supply sources where a specific item needs pricing — limited to the item specification and quantity, without your personal data unless it is needed for delivery
  • Official authorities where required by law

Files you upload

Files attached to your request (RFQ, BOQ, specifications) are stored on our servers in a location that is not served over the internet and cannot be reached through a public link. They are saved under a system-generated name rather than the original filename, and access is limited to the team handling your request.

Cookies

We do not use advertising or tracking cookies. What we do use is limited to:

  • A cookie carrying a cross-site request forgery (CSRF) token — required for the form to work securely
  • Your dark or light theme preference — stored in your browser only and never sent to us
  • Campaign data held for your session alone, so it accompanies your request if you send one
  • Google Analytics cookies where analytics is enabled, used for aggregate measurement rather than identifying individuals

How long we keep it

We retain quotation request data for the duration of our commercial relationship and for the period afterwards required by accounting and legal obligations. Requests that never become an actual engagement are kept for a reasonable period sufficient to follow them up and are then deleted. You can ask us to delete your data sooner at any time.

Your rights

Under Egyptian personal data protection law you have the right to:

  • Know what data we hold about you and obtain a copy of it
  • Have any inaccurate or incomplete data corrected
  • Request deletion of your data once it is no longer needed
  • Withdraw your consent to processing at any time
  • Object to or restrict the processing of your data

How to exercise your rights

Send your request to info@alkayansupp.com stating what you want. We will respond within a reasonable period, and we may need to verify your identity first — to protect your data from being disclosed to someone other than you.

Data security

Site data is transmitted over an encrypted connection, and access to request data is limited to the team members who need it. That said, no party can guarantee absolute security on the internet, so we recommend not sending sensitive data — banking details, for example — through the site form.

Changes to this policy

We may revise this policy as our practices or legal requirements change. The date of the last update appears at the top of this page, and any revision applies from the date it is published.
